How Small Sellers Can Share Tracking Updates With Customers (WhatsApp Templates in English and Hinglish)
When to message buyers, what to send, ready-to-copy WhatsApp templates — and a free branded tracking link.

Quick answer Send your buyer three short messages: 1) Shipped — courier name + tracking number + a tracking link, 2) Out for delivery — "please keep your phone on", and 3) Delay — the moment you know it's late, with a new date. That alone cuts most "where is my order?" chats and many COD refusals. Use one link for every courier: CheckMyOrder's free branded tracking page for sellers (how it works) — e.g.
checkmyorder.in/t/your-shop?awb=….हिंदी में: खरीदार को तीन मैसेज भेजें: शिप हुआ (ट्रैकिंग नंबर + लिंक), आउट फ़ॉर डिलीवरी, और देरी होने पर नई तारीख।

Why it matters
- "Where is my order?" is the #1 question small sellers answer on WhatsApp and Instagram.
- COD buyers who don't hear from you refuse more often. Industry data puts COD return-to-origin (RTO) at roughly a quarter of COD parcels, against under 2–3% for prepaid. Every refusal costs you shipping both ways. More: cash on delivery in India.
- Trust brings repeat orders. India's seller base has roughly tripled in five years (Bain & Flipkart) — clear updates are an easy way to stand out.
What to send, and when
| Moment | Send | Why |
|---|---|---|
| Order confirmed (COD) | "Please confirm your order" | Confirming COD before shipping is the biggest single RTO reducer |
| Shipped | Courier + tracking number + link + expected date | Buyer can self-serve instead of messaging you |
| Out for delivery | "Arriving today — keep phone on, keep cash/UPI ready" | Fewer missed deliveries |
| Delayed / stuck | Honest update + new date | Prevents refusals and bad reviews |
| Delivered | Thank-you + how to reach you for problems | Catches "delivered but not received" early |

Delivered
Delivered! 🎉 Hope you love it. If anything is missing or damaged, send a photo here within 48 hours.
Never put OTPs, payment links or personal data in these messages — buyers are trained (rightly) to distrust them. See delivery OTP scams.
One tracking link for every courier
Most small sellers use 2–4 couriers, each with its own website. Instead of explaining each one:
- Create your free branded tracking page on CheckMyOrder — see for sellers.
- Add the tracking number to the link:
checkmyorder.in/t/your-shop?awb=123456. - The buyer opens one link with your shop's name, and the courier is detected automatically.
We don't need your orders or customer details — buyers just open the link.
Small habits that save hours
- Send the tracking number as text, not a screenshot — buyers can copy it.
- Set expectations honestly ("3–6 days", not "2 days") — late deliveries cause more refusals than slow ones.
- Check your own parcels once a day with multi-tracking and message buyers before they message you.
- Know the status words so you can explain them: courier tracking status meanings.
- Stuck parcel? Follow parcel stuck in transit and raise it with the courier early.
FAQ
Do I need an app or software to share tracking?
No. A WhatsApp message with the tracking number and a link is enough. CheckMyOrder's seller page is free and needs no app.
Should I message buyers on every scan?
No — three to five messages (shipped, out for delivery, delayed, delivered) are plenty.
Does confirming COD orders really reduce returns?
Yes. Confirming intent before shipping filters out impulse or fake orders, which make up a large share of COD refusals.
